This Revisions and Scope of Work Policy defines the boundaries and expectations for revisions, as well as the scope of work for projects undertaken by DesignVault Studio. By working with us, you agree to the terms of this policy to ensure a smooth, efficient, and transparent project experience.
1. Scope of Work
The scope of work (SOW) for each project is clearly outlined in the project agreement or contract and includes:
- Project objectives and deliverables
- Specific services and tasks to be completed (e.g., website design, social media content, graphic design)
- Timeline and key milestones
- Budget and payment structure for the agreed-upon services
Any work outside this scope may require a new agreement or an amendment to the existing agreement and may incur additional fees.
2. Revisions Policy
DesignVault Studio offers a specified number of revisions as part of each project to ensure client satisfaction. The revision terms are as follows:
- Initial Round of Revisions: The project includes up to (Specify Number – Depending on Package) rounds of revisions at no additional cost. This allows for refinement based on initial feedback.
- Definition of a Revision: A revision is defined as minor modifications to the existing design, such as adjustments to color, text, or layout. Substantial changes (e.g., complete redesigns, shifts in branding) are not considered revisions and may incur additional charges.
- Additional Revisions: If additional revisions beyond the included rounds are requested, they will be billed at an hourly rate of (£20) or according to a pre-determined fee schedule. DesignVault Studio will communicate any costs in advance.
3. Client Responsibilities for Revisions
To make the revision process as efficient as possible, we ask clients to:
- Provide Timely Feedback: Feedback should be provided within (five business days) of receiving deliverables. Delays in feedback may impact the project timeline.
- Consolidate Feedback: To ensure clarity and efficiency, please provide all feedback for a revision round in a single, consolidated message or document.
- Be Specific: Clearly outline the requested changes to avoid misinterpretations. Precise feedback will help us meet your expectations in each revision round.
4. Out-of-Scope Work
Any requests outside the agreed-upon scope will be considered out-of-scope and may incur additional fees. Out-of-scope work includes:
- Significant changes in project direction or new deliverables not listed in the original agreement.
- Additional design elements, pages, or marketing materials not originally discussed.
- New functionality, features, or design adjustments that fall outside the original requirements.
We will provide a detailed estimate for any out-of-scope work, including costs and timeline adjustments, and will proceed only with client approval.
5. Change Requests and Scope Adjustments
We understand that project requirements may evolve. If you wish to make changes to the scope of work:
- Submit a Change Request: Clients may submit a formal change request detailing the desired modifications.
- Assessment and Approval: DesignVault Studio will review the request, provide an estimate of additional costs and time required, and confirm if changes are feasible within the project timeline.
- New Agreement or Amendment: Depending on the extent of the changes, we may require a new agreement or an amendment to the existing contract.
6. Timeline and Delays
Timely project completion depends on the client’s adherence to the agreed timeline, including providing feedback and required materials. The following applies:
- Delays Due to Revisions: Extensive revisions or additional rounds of changes may extend the project timeline. We will communicate any timeline adjustments based on the extent of requested changes.
- Client Delays: If the client’s feedback or materials are delayed beyond (five business days), the project timeline may be adjusted, and a restart fee may apply if significant delays occur.
7. Final Approval
Once all revisions are completed, the client will be asked to provide final approval of the deliverables. Upon final approval:
- Project Closure: The project will be considered complete, and any further changes will be billed as new work.
- File Delivery: Final deliverables will be provided in the agreed-upon formats after payment of the remaining project balance.
- Portfolio Rights: DesignVault Studio reserves the right to showcase approved work in our portfolio, as outlined in our Copyright and Intellectual Property Policy.
